Client communication and escalation
Objective: Communicate status, questions, problems, and recommendations early enough for the client to make informed decisions.
Good client communication reduces uncertainty without creating noise. Match the channel to urgency and record value. Acknowledge important requests, confirm interpretation, and state the next update even when the final answer is not ready. Use concise structure: context, current fact, impact, action taken, options, recommendation, owner, and timing. Do not hide mistakes, overpromise, or use confident language to cover an unknown. Respect the client's preferred formality and language while keeping meaning, decisions, and deadlines explicit.
Escalation is responsible control, not failure. Predefine triggers such as deadline or budget risk, unclear authority, suspected security incident, unusual payment request, legal threat, personal-data exposure, harassment, safety issue, inaccessible request, or quality exception. Pause actions that could cause harm and verify through a known channel when identity or instructions are suspicious. Preserve facts and relevant evidence without investigating beyond authority. If conduct may involve discrimination, retaliation, wages, classification, health, law, or emergency response, follow the organization's reporting route and applicable local requirements rather than trying to resolve it alone.
